How Gearstead would work

The intended workflow, in plain terms. Nothing below is running yet; it is the specification the build would follow.

Design intent: fully specified, not yet built
  1. 01

    Record the asset

Each item of hardware, each licence and each piece of physical equipment is entered once, with a named owner and a location. The register is the single list, not a copy of one.

  2. 02

    Move it through the lifecycle

An asset sits at exactly one stage: ordered, provisioned, in use, in repair, retired or disposed. Changing stage is a deliberate action, so the register reflects reality rather than the last spreadsheet edit.

  3. 03

    Log every assignment

When an asset changes hands the previous holder is closed off and the new one opened. The result is an assignment history per asset: who has had it, and since when.

  4. 04

    Track warranty and renewal dates

Warranty end dates and licence-renewal dates are held on the asset, and reminders are raised ahead of the date so cover does not lapse and renewals are not paid for equipment already retired.

  5. 05

    Close it out with evidence

Retirement and disposal write a depreciation and disposal record, so finance and compliance can see what the asset was worth, when it left, and how it went.
